Archive.pst has reached its Maximum Size: Achieving Data Management

Outlook has issues with the data file size and it is dependent on the versions of it. The versions before 2003 had the maximum storage issues as the capacity was only 2GB and it creates ANSI type PST file. The later versions increased tremendously on the storage capability with the limit extending to 20GB and later to 50GB and more recently to extendable data storage limit. Also, the newer version supports the Unicode type PST file. An archive which represents a user profile is similar to the PST file and all the rules hold good for the archive PST files too. Method 2: Create a New Archive in Unicode Type PST File

To avoid archive.pst has reached its maximum size error, create an archive in Unicode type PST file, disconnect the existing archive from the profile by the following steps:

  • Go to Data File Management -> File tab -> Account Settings -> Data Files tab
  • In the Data Files tab, click on Open File Location and browse to locate the folder path on Windows Explorer.
  • Select the file and click Remove.
  • Close the dialog box and exit Outlook.
  • Go back to where the Archive is located and rename it with a different name other than archive.pst
  • A new file or Unicode type with the name of archive.pst is created automatically when archiving is performed the next time. The previous archive remains untouched.

Note: The old archive can still be accessed by the Open File option.

Method 3: Combine the Existing Archive with a New Master Archive

The existing archive can be combined to a newly created master archive too. Create a new PST file which acts as the master archive and then copy the contents of the existing archive file to the master file. The contents remain safe in this way when there is any error issue or if the PST file becomes inaccessible.
